Purpose of the Job
The Invoicing Verifier is responsible for ensuring accurate and efficient processing of invoices, insurance declarations, and operational documentation within a logistics or shipping environment. This role manages billing processes, prepares customs and disbursement invoices, reconciles charges using systems such as Shipshape, and ensures all supplier costs are accounted for prior to invoicing.
Key Responsibilities
Billing and Invoicing
- Prepare secondary invoices for shipment and disbursement costs when requested by customers.
- Capture customs invoices as scheduled and scan supporting documents for email submission.
- Ensure all charges are accurately billed and reflected in Shipshape balances.
- Verify that all supplier costs within shipment files are recovered before generating customer invoices.
Statement Management
- Distribute daily, weekly, and monthly statements via email.
- Ensure read receipts are obtained for all statement communications.
Filing and Document Control
- Accurately file all relevant invoices and credit notes within shipment files.
Insurance Administration
- Ensure all insurance-related customers are invoiced correctly and promptly.
- Prepare and submit monthly insurance declarations to the Insurance Department for broker payment.
- Scan and email documentation required for insurance certificates.
- Maintain proper filing of all insurance declarations in physical or digital records.
General Administrative Support
- Maintain professionalism in all conduct and communication.
- Assist other departments with tasks as required.
Minimum Requirements
- Grade 12 (Matric)
- Minimum 2 years’ experience in invoicing
- Experience within the Clearing and Forwarding environment
- Proficiency in systems such as Shipshape
- Strong accounting and mathematical skills
