TrudyQ Consulting is seeking a dedicated and professional Company Secretary Administrator to join a well-established financial services firm based in Cape Town. In this role, you will be responsible for providing high-level company secretarial services to a diverse portfolio of both local and international clients. This position offers an excellent opportunity for career progression within a dynamic environment. The compensation package is market-related and includes membership to a medical aid and a pension fund.
Key Performance Areas
- Maintaining and managing company statutory records and minute books.
- Updating and maintaining electronic databases and statutory record systems.
- Drafting and registering documentation related to Company, Close Corporation, and Trust laws. This includes processing changes to company structures, preparing and filing annual returns, managing CIPC Compliance Checklists, and documenting Beneficial Ownership.
- Handling registrations involving changes to directors, shareholders, MOIs, and new company incorporations, as well as managing complex group restructuring transactions.
- Liaising directly with the CIPC, TRP, and the Master of the High Court to ensure regulatory compliance.
- Managing client correspondence throughout the registration and administrative lifecycle.
- Assisting with departmental administrative tasks, including preparing invoices and opening client codes for new assignments.
- Supporting the Head of Department with various in-house administrative functions as required.
Minimum Requirements
- A 3-year Company Secretary Diploma or a similar relevant qualification is considered a strong advantage.
- A minimum of 3 years of experience in a company secretarial role, ideally within an audit or accounting environment.
- Proven experience in managing Beneficial Ownership filings, including drafting and filing necessary documentation with the relevant authorities.
- Strong commercial acumen combined with exceptional accuracy and attention to detail.
- Advanced administrative and organizational skills.
- Excellent written and verbal communication skills in both English and Afrikaans.
- Intermediate proficiency in the MS Office suite.
- Practical experience working with electronic secretarial and statutory software packages.
- Previous experience with electronic task management systems will be highly advantageous.
- A background in legal or financial services is preferred.
- Must possess a valid driver’s license and own transport.
