We are looking for a professional with strong administrative skills who can maintain an efficient, accessible document and records management system for all stakeholders.

  • A robust understanding of compliance standards, document retention schedules, and audit trails.
  • Exceptional attention to detail and the ability to multitask effectively.
  • A high level of integrity, an innovative approach to problem-solving, and a collaborative team-oriented mindset.

Duties and Responsibilities

  • Manage the implementation of Health, Safety, and Environmental (HSE) protocols in the field and oversee head office safety administration to ensure records remain accessible.

  • Manage the information required to maintain all company accreditations.
  • Ensure all documentation is current and oversee the timely submission of client accreditation paperwork.

  • Ensure all online platforms are kept up to date with the latest company plans, procedures, risk assessments, safe work procedures, and man-hour reports.
  • Collate quarterly PPE requests from the field and submit them for final approval.
  • Verify that all checklists are completed and reported, ensuring any non-compliance is promptly actioned.
  • Obtain supplier quotations for new equipment, recalibration, and servicing, and secure the necessary approvals.
  • Establish risk assessments for all infield and workshop activities, ensuring risks are identified, communicated, and addressed with safe work procedures.
  • Conduct scheduled infield HSSE and safety file audits.
  • Manage compliance call logging and assist with various ad-hoc duties as required by the organization.
