Role Overview

As the Finance & Customer Accounts Administrator, you will play a pivotal role in managing client expectations and ensuring a seamless operational experience. You will be responsible for overseeing daily fuel requirements, managing order trends, and optimizing transport costs. This position requires someone who can maintain the integrity of financial records while providing exceptional service to our national client base.

Duties and Responsibilities

  • Confirm product supply across various suppliers.
  • Liaise with customers regarding daily fuel requirements and any deviations from standard order patterns.
  • Manage the setup of new customer accounts within Xero, employer systems, and supplier portals.
  • Generate and issue proforma invoices for all cash orders.
  • Verify payments for cash orders prior to the issuance of loading slips.
  • Monitor credit limits to ensure customers have sufficient credit before processing credit-based orders.
  • Coordinate the most cost-effective transport solutions for product deliveries.
  • Process invoices promptly in Xero or relevant systems upon receipt of delivery documentation.
  • Follow up on outstanding customer account payments.
  • Prepare daily and monthly financial reports as required.
  • Review statements and credit exposures to ensure all orders are paid and processed correctly.

Requirements

  • Matric Certificate is required.
  • A relevant tertiary qualification is considered an advantage.
  • Minimum of 3 years of experience in finance administration.
  • 2 to 3 years of specific experience handling debtors and creditors.
  • High proficiency in Accounting software and the Microsoft Office suite.
  • Reliable own transport.
  • Proven ability to work effectively within a collaborative team environment.
  • Availability to work office-based hours, Monday to Friday, from 08:00 to 17:00.
